What should club staff check before sharing a moderation screenshot outside the team?
Before a moderation screenshot leaves the team, check who will receive it, why they need it, and whether the current channel is approved for that purpose. Remove or crop member identifiers, private posts or messages, moderation reasons, invitation details, and any unrelated personal information. Share only the minimum needed; if the image is unnecessary, use a brief sanitized description through the approved support path. Do not expose private saved research or account details just to explain a club action.
For Club moderators and staff preparing to share a moderation screenshot externally · Updated
Confirm purpose and recipient first
A screenshot can reveal more than the moderation decision: club profiles, role information, private discussion, or a reason attached to a member-control action. Decide what the recipient actually needs to understand before sharing the image.
Use the current approved support or team channel for that purpose. Do not create a new external destination or send the image to an audience that does not need the information.
Remove unrelated or identifying details
Review the actual image at full size. Crop or redact member names and profile details, private post content, moderation reasons, invite state, and any account or saved-research information unrelated to the question.
A short sanitized summary may be enough. If the screenshot adds no necessary context, do not include it.
- Share the smallest portion needed to explain the issue.
- Remove personal or private information the recipient does not need.
- Check redactions remain in place in the file that will actually be shared.
Follow the existing sharing process
The club contracts contain private actor, profile, role, and moderation data. Handle that material within the current approved support process and avoid forwarding private member content beyond its intended audience.
This is a privacy review for an example workflow, not permission to share a real member's data or a claim about legal disclosure requirements.
A screenshot with extra member details
Hypothetically, a staff member captures a moderation screen that also shows a member profile and unrelated discussion. Before sharing outside the team, they crop or redact those details and use the current approved support channel. If the decision can be explained without the image, they send a minimal sanitized summary instead.

Should I share the full screen so support has context?
Only include information the approved recipient needs. Remove unrelated member and private details, or use a sanitized summary.
Can I post the screenshot to any external chat?
Use the current approved channel for the purpose. The existence of a screenshot does not authorize broader sharing.
